The Reward Management tab is where admins track every prize win and manage fulfillment. When a user wins and selects a prize, it appears here so your team can ensure every winner actually receives their reward.

Accessing it

Navigate to the Reward Management tab inside the Swivel app. You'll see a list of all prize wins — both pending and fulfilled — along with the winner's name, the prize they selected, and the date of the win.

Auto-fulfilled vs manual prizes

Not all prizes require admin action. Here's how different prize types are handled:

Auto-fulfilled (no action needed)

  • Bonusly Points — Points sent automatically via the Bonusly integration at the moment of the win. Marked as Auto-fulfilled in the log.
  • HeyTaco Tacos — Tacos sent automatically via the HeyTaco integration. Marked as Auto-fulfilled.
  • Gift Cards (Premium) — Winner receives the gift card link by email via Tango Card automatically. No admin step required.

Manual prizes (action required)

Custom prizes — any reward you created with the Custom Prize type — require your team to fulfill them and then mark them as complete in Swivel. These show up as pending until you take action.

Find the prize win

In the Reward Management tab, locate the pending win for the custom prize you've fulfilled.

Use the status dropdown

Click the status dropdown next to the prize win and select Fulfilled.

Optionally add a note

Add an admin-only note for your records before saving. The winner will not see this note.

Once marked fulfilled, the win moves to history and no longer appears in the pending queue.

Using notes

The notes field on each prize win is for admin use only — winners cannot see it. Use it to track logistics: scheduling details, order confirmation numbers, or any context your team needs.

Examples of useful notes:

  • "Lunch scheduled for June 15 at noon — calendar invite sent"
  • "Gift card ordered via Amazon, confirmation #12345"
  • "Extra PTO approved by HR — expires end of quarter"

Tip

Check the Reward Management tab regularly — unfulfilled prizes pile up quickly on active teams. Setting a recurring reminder to review pending wins once a week keeps your program trustworthy and your winners happy.
